Create and Send to Contact Lists

Upland InterFAX’s Contact Lists management lets Users create lists of contacts in order to send static or dynamic documents to, rather than having to send single transactions to individual contacts one by one. Using contact lists, it is possible to send documents to up to 20,000 contacts in a single transaction.

In any broadcast, two item are required, the document to be broadcast, and a list of recipients. The sent document can either be static (meaning each recipient in the list receives the same document), or dynamic (meaning every recipient receives a personalized fax featuring merged fields).

To get started with Contact Lists, please login to the Control Panel, and navigate to “Contact Lists“.

Users have the following options available;

Create a new list of contacts Add contacts to a list Send to a list of contacts
Edit an existing contact Remove a contact from a list Rename or Delete a list
Import contacts by file Export contacts to file Search for a list or contact

Please note! Before running any fax broadcast to multiple recipients, we would recommend sending a single recipient test, to verify that all of your settings are correct.


Create a new list of contacts

In order to create a new contact list, please do the following;

1. Login to the Control Panel and navigate to “Contact Lists“,
2. If you have not yet created any lists you will be prompted to create a new list straight away, otherwise click on the ‘+’ symbol under the “View Lists” page section,
3. Assign a unique name to your list and choose whether to share the list with other users under the same Account,
4. That’s it! Now you can add Users to the list you have created.


Add contacts to a list

Once you have created a list, you will need to add contacts. You can either upload a file of contacts to be imported, or manually add contacts by following steps below;

1.  Click on the list you would like to add contacts to, under the “View Lists” menu in the left hand page section,
2. If no contacts have yet been added, you will be prompted to add a new contact straight away, otherwise click on the ‘+’ button in the right hand page section,
3. You can add a Name, Fax Number, Company and Phone Number, fill out the fields and click “Add”,
4. That’s it! You can add and send to up to 20,000 contacts at a time, as well as removing or editing contacts in existing lists.


Sending to a list of contacts

Once contact lists have been created, there are a number of options for sending content to any given list. Static documents (meaning each recipient in the list receives the same document) can be broadcast in bulk by using our email to fax service, and both static and dynamic documents (meaning every recipient receives a personalized fax featuring merged fields) can by broadcast using the Upland InterFAX Control Panel.

Edit a contact

It is possible to edit the details of an existing contact within a list of contacts, in order to do please follow the steps below;

1. Select the list which contains the contact you wish to edit, in the left hand page section,
2. Locate the contact you wish to edit in the right hand page window, you can search for contacts if you need to,
3. Use the 3 dot more options menu on the right of the entry, and click on Edit,
4. Fill in the details and click Update to save.


Remove contacts from a list

In order to remove a contact from an existing list, please do the following;

1. Select the list which contains the contact you wish to delete, in the left hand page section,
2. Locate the contact you wish to delete, in the right hand page section, you can search for contacts if you need to,
3. Use the 3 dot more options menu on the right of the entry, and click on Remove.


Rename or Delete a list

In order to rename or delete an existing list, please do the following;

1. Locate the list you wish to rename or remove under the left hand View Lists page section, you can search for a list if you need to,
2. Select the three dot “More Options” menu on the right hand side of the entry,
3. Select Rename to rename the selected list, or Remove to permanently delete the selected list.


Import contacts from file

Once a list has been created, it is possible to import a CSV file of contacts, to add into the list in question, in order to do so, please follow the steps below;

1. Select the list you wish to import contacts to, in the left hand page section,
2. Navigate to the three dot “More Options” menu at the right hand side of the entry and select “Import”,
3. A number of options are available for controlling the import;

  • Files to upload – Opens the file explorer, navigate to and select the file(s) you wish to import,
  • Character to use as the CSV delimiter – Specify whether the imported file fields are separated by Comma (,) or Semicolon (;),
  • Fax Number / Contact Name / Company / Phone Number – Define the order in which the fields appear within the file you wish to import,
  • Ignore duplicate fax numbers – Select whether or not to ignore duplicate entries in the Fax Number column,
  • The first row of the list contains field names – Define whether or not the file contains a first row of headers.

Export contacts list to file

It is possible to export a list of contacts to file, as a CSV to do so please follow the steps below;

1. Select the list you wish to export, in the left hand page section,
2. Navigate to the three dot “More Options” menu at the right hand side of the entry and select “Download CSV”,
3. Select a local download location, and click on Save.


Search for a list or contact

Using the search boxes at the top of each section, it is possible to search for specific lists, or to search for a contact within a selected list. Once you type at least two letters, suggestions will begin to be filtered.
