Seeing documents differently: lessons in accessibility

When we design documents, we often focus on how they look. Clean layout, clear tables, polished branding. But accessibility isn’t about how something looks – it’s about whether people can actually use it.

That truth came into sharp focus when we tested an invoice with Jesse, a blind user who generously shared his experience with us.

A powerful reminder

Jesse began with a simple question:

It was a reminder that accessibility isn’t abstract. For Jesse, it’s daily life. He uses tools like Seeing AI to scan printed letters and NVDA to navigate PDFs on his computer. Those tools rely on structure, not appearance, to make sense of documents.

When looks don’t equal usability

The invoice we shared looked fine to us. But when Jesse listened to it with his screen reader, the experience fell apart. Headings, tables, and key details weren’t presented in a way that made sense. What seemed polished to us was confusing to him.

Then we tested the same invoice generated with OL Connect’s PDF/UA support. This time, Jesse could move easily through sections, hear tables read correctly, and access payment details independently. The design hadn’t changed – but his experience had.

Lessons we took away

Our session with Jesse taught us three simple but important lessons:

•  Accessibility is about structure, not just style.
•  Critical information should never be locked inside an image.
•  The best way to know if a document works is to test it with real people.

Why it matters

Yes, accessibility is about compliance with ADA, Section 508, and the European Accessibility Act. But it’s also about trust. An invoice that can’t be understood isn’t just a compliance problem – it’s a broken customer experience.

By building accessibility into every document from the start, organizations can create communications that are inclusive, compliant, and cost-effective. Most importantly, they give every customer the independence and respect they deserve.

Closing thought

Jesse’s question still sticks with us: “How do you think I read traditional paper mail?” It reminded us that behind every invoice or statement is a person trying to do something simple: pay a bill, check a balance, or understand a policy. Accessibility ensures they can – and with OL Connect’s PDF/UA support, it’s never been easier.
